ADMINISTRATIVE ASSISTANT / FINANCIAL SECRETARY

Minimum Qualifications:
Excellent typing ability
Ability to meet and greet people in a friendly, courteous manner
Must have thorough working knowledge of the following computer software:
Quicken for Non-Profits
ShelbyNext
Microsoft Word
Microsoft Publisher
Microsoft Excel

Lives a well-balanced life, exhibits good work related disciplines and gives attention to personal and family needs thereby providing a good role model.
Willing to work under the guidance of the Pastor.
Comfortable working with peers in a collegial style of ministry where there is sharing of ideas and responsibilities.
Possesses the ability to establish and maintain good working relationships with the membership, staff, and volunteers of the church; and has a positive and enthusiastic influence upon the staff and congregation.

Accountability:
Directly accountable to the Pastor and Staff-Parish Relations Committee

Financial Responsibilities:
Count offering with treasurer and enter the deposits in QuickBooks.
Confirm that all funds designated and non-designated are entered in the correct account.
Verify, enter, and pay accounts payables weekly or as needed.
Receive and prepare deposits for the Munford FUMC Preschool
Enter Preschool payments in QuickBooks.
Compile and send end-of-year statements to Preschool parents.
Maintain Preschool accounts. Confirming that payables are separate from church’s account.
Payroll
Verify and cut payroll checks for the 1st & 15th cycle for church staff.
Verify and cut payroll checks for the on the bi-weekly schedule for Preschool staff
Make certain all checks signed by the treasurer.
Maintain and update personnel files, including current W2’s, tracking vacation and sick time, name changes, address changes, payroll changes, etc.
Receive, order, and maintain files for employee background checks.
Prepare and deposit monthly payroll taxes 941 forms through First Citizens Bank.
Prepare and submit the Quarterly payroll taxes 941 report.
Prepare and distribute the annual payroll W2 forms.
Prepare and submit the annual payroll W3 form.
Reconcile bank statements for the church operating and fund accounts.
Distribute previous year budget forms to church leaders and collect and record budget requests.
Prepare budget alongside Finance Committee.
Setup, maintain budget in QuickBooks.
Provide financial reports for the pastor, the chair of finance, and the finance committee monthly.
Receive, verify and post dividends/interest to CD’s.
Provide and review expenditures and budget with committee coordinators as needed.
Send acknowledgments for memorials.
Enter contribution data in ShelbyNext and provide annual contribution statements to congregation members and review statements as needed.
Attend finance and church council meetings as financial secretary.
Prepare financial reports for church and Preschool and supply copies for each meeting, including cash flow analysis and monthly budget performance.
Prepare, distribute forms, collect and submit annual charge conference reports and conference journal reports to district office.

Admin Responsibilities:
Attend staff meetings.
Design, prepare and print special hand-outs, invitations, booklets, study guides, etc.
Prepare and print meeting and special reminders for mailings as needed.
Prepare announcement fliers and posters.
Other publishing needs as determined by programming.
Provide staff support for publishing.
Coordinate, design, and submit artwork for promotional items/banners as needed.
Help publicize Wednesday Night Meals.
Greet, direct, assist visitors and/or congregation members in the church office.
Receive and direct incoming mail and packages.
Receive and direct incoming phone calls and messages.
Draft, type, and coordinate correspondence as needed.
Maintain and order office supplies.
Distribute forms, design inserts and place orders for all special occasion flowers for worship.
Maintain, schedule and coordinate with custodian church calendar for church and non-church activities, meetings, receptions, dinners, etc.
Maintain, update, and issue church applications.
Maintain and issue building keys.
Schedule maintenance for building needs and equipment (working with the chair of trustees).
Work with all vendors to ensure proper billing and trouble-shoot problems.
Maintain copier and call for service.
Maintain, update, and schedule service calls for computer networking system and purchase of any needed software, i.e. QuickBooks annually payroll update, virus protection, etc.
Maintain, initiate prayer needs, special messages, email, etc.
Assist Preschool director in preparing annual budget and letters to parents.
Order all Preschool supplies and register teachers for continuing education.
Be familiar with and help enforce Safe Sanctuary guidelines for all church activities.
Coordinate event plans and scheduling with all other staff members.
Other duties as assigned by the pastor.
