Office Manager

Job Purpose
The Office Manager for City Road Chapel United Methodist Church contributes to the well-being of the faith community by coordinating all administrative functions of the church and working with other staff to ensure that the programs of the church are adequately communicated to church members and the broader community. This position includes oversight for management of our 4-building facility and coordinating building activities with all renters, staff, members and guests.
Status and Hours
Part-Time, exempt, salaried employee
25 Hours per week, schedule to be negotiated, but must comply with minimum on location hours as determined by SPRC and the CRC Board.

• As per the Safe Sanctuaries policy of the City Road Chapel UMC, all staff members must receive a criminal background check and complete an application for employment, both of which will be kept on file in the church office. • Must be in good physical health, able to function in a demanding environment on a regular basis, and able to lift 25 lbs.
• Must be flexible and open to supervision, recognizing that the unique demands of a church environment often require an ability to adapt as circumstances change.
• A high school diploma is required. 5 years of experience in general office, facilities management and communications are preferred. Preference will be given to persons with an associate’s degree or higher in business administration.
• Given the religious nature of the organization, the Business Office Manager should be a person of faith who is able to be sensitive to the pastoral and confidentiality needs of persons throughout the church and community.
• This position requires computer proficiency, including Microsoft Word, Excel, and Publisher. Preference will be given to persons with experience using ACS Church Management software and WordPress based websites.
• This position works closely with the pastor to stay informed on the schedules and ministries of the church and ensure coordination of church programs/activities.

Major Duties and Responsibilities
Administrative Responsibilities:
• Assist Pastor & Worship Committee with preparations for Sunday worship – including management of supplies and generating/preparing the bulletin and supplemental materials.
• Manage employee records and submit payroll.
• Assist Pastor with documentation and reporting required by all government agencies and the church Conference – including maintaining accurate records for church membership, Annual Charge Conference and Year End reports.
• Manage inventory and purchase of office supplies to maintain the needs of the church operations.
• In conjunction with pastor and building maintenance, ensure adherence to policies and procedures for all building tenants including timely collection of rent, tracking/communicating building activities, maintaining up-to-date contracts and supplemental agreements for incremental building usage, resolving any building maintenance issues.
• Assist Pastor and Board Chair in preparing for and documenting proceedings and outcomes of board meetings – ensuring proper documentation for all board decisions as a part of ongoing operations and financial activities.
• Ensure an accurate calendar of events is maintained and visible/communicated for any building usage, including coordination of building needs, communication of policies, communication and collection of any associated fees, ensure a post event review of space occurs and any issues noted and communicated.

• Ensure timely and accurate payments to vendors for approved church operations and ministries.
• Track and record incoming funds from all sources (grants, building usage, building rent, contributions, other donations, etc.) according to usage and source.
• Review monthly credit card statement for accuracy and ensure proper supporting documentation is provided and maintained for all paid charges.
• Make cash deposits as required.

• In conjunction with Trustees (as needed) supervise building operations and approve expenditures for routine building expenses.

Working Environment/Physical Demands
The work of this classification requires some physical exertion such as walking, climbing, bending, stooping, stretching or similar activities.

보상
$32,500 per year for a 25-hour work week (calculated on a rate of $25 per hour).
This position earns PTO prorated in proportion to hours worked and tenure.
CRC also recognizes 10 designated paid holidays.
