POSITION SUMMARY

The Administrative and Engagement Coordinator plays a vital role in ensuring the smooth and efficient operation of the organization’s administrative functions while also providing crucial support to community outreach and engagement initiatives. This position requires a dynamic and driven individual who is highly organized and detail-oriented with excellent communication and interpersonal skills. The Coordinator will manage a wide range of administrative tasks, contribute to financial processes, support donor, board and partner relations, and assist with engagement and volunteer activities, working both independently and collaboratively with the Executive Director, Director of Engagement, and other staff as needed.

ABOUT NASHVILLE LAUNCH PAD

Mission: To create a network of temporary, safer, street-free sleeping shelters for unhoused young adults which are open and affirming to LGBTQ+ individuals and their allies.

Impact: Since 2014, Nashville Launch Pad has been the singular provider of both young adult focused and LGBTIA+ affirming emergency shelter and housing in middle Tennessee. More than 30,000 individual nights of safer, street free sleep have been provided to nearly 2,000 young adults navigating street homelessness, displacement by family, or release from the justice of foster care system.

PROGRAM OVERVIEW

Emergency Shelter – Seasonal night-to-night shelter operating November 1 through April 1 each year. Capacity of about 20 young adults, age 18-26 each night, in partnership with local LGBTQ+ arming churches. Hot meal, shower, mattress, linens, first aid, and additional supplies provided. Donations of meals, clothing, hygiene and first aid supplies and the presence of volunteers during waking hours stretch investments in the work of street-free sleep. Staff, trained in trauma informed care and de-escalation techniques support guests and volunteers.

Mobile Housing Navigation Center – Single grant funded, historically by Metro Nashville, this 24/7 year-round, staffed, program offers staffed transitional housing and resource navigation for up to 12 young adults, ages 18-24. Must be experiencing literal homelessness and referred from the city’s Homelessness Management Information System (HMIS) and Coordinated Entry (CE) systems. Funding beyond early/mid- 2026 is to be determined.

Independent Supported Living Program – Transitional housing for ages 18-26. Up to three guests share a 3 bedroom apartment, free of charge for up to 6 months while working to stabilize and establish permanent housing. Highly independent program requiring residents to live in a self-sufficient manner providing their own food, transportation, and case management.

Job Responsibilities:

Financial Management & Reporting

✦ Frequently and consistently retrieve and properly route incoming mail.
✦ Prepare bank deposits in coordination with leadership.
✦ Manage weekly payroll processing and track overtime.
✦ Process accounts payable and receivable as needed.
✦ Review financial statements with our Accountant and suggest edits to the Executive Director.
✦ Assist with development, management, and drafting of annual departmental and combined budgets.
✦ Assist senior staff with expense reporting and reimbursement processes.
✦ Maintain regulatory reporting requirements with the State of Tennessee and other entities, including but not limited to Charitable Solicitation registration, Annual Report to the Secretary of State, and Unemployment division filings.

Development & Grants

✦ Manage online donation platforms including Benevity, Network for Good, etc.
✦ Enter donations, including checks and ACH deposits, into donor management system.
✦ Generate weekly and annual acknowledgement letters and receipts to donors.
✦ Proofread grant applications and assist in reporting as needed.

Human Resources

✦ Complete new-hire paperwork, including background checks, and process terminations.
✦ Assist in managing job postings as needed including resume screening, etc.

Board & Executive Support

✦ Assist in the preparation of materials for board meetings.
✦ Assist in the on-boarding of board members in tandem with the Executive Director and Board Chair.
✦ Support the Executive Director in board related record-keeping.

Engagement Support

✦ Represent agency at community events as an attendee and speaker as needed.
✦ Assist in training and supporting volunteers for Emergency Shelter, Central Storage, the community garden, outreach efforts, and beyond.
✦ Assist in monitoring, responding to, and escalating social media messages and posts.
✦ Assist in managing the Amazon Wish List and coordinating supply drives/donations.
✦ Assist in event planning, including coordination with vendors and caterers.
✦ Assist in the receipt and appropriate distribution of shelter supplies.

General Responsibilities

✦ Attend staff meetings and some organizational events as needed.
✦ Maintain familiarity with general office and administrative functions.
✦ Schedule meetings for staff and the Executive Director.
✦ Manage the organization’s password depository.
✦ Other duties as needed to fulfill the mission.

Qualifications
✦ Access to reliable transportation for the transportation of donations and supplies, including food.
✦ Willingness to submit to and successfully pass a drug screen.
✦ Willingness to submit to and to successfully pass a background check.
✦ Familiarity with standard office and administrative functions.
✦ Some college coursework in business, business administration, or a similar field, OR equivalent experience as an office manager/administrator is preferred.
✦ Demonstrated ability and experience working successfully both independently and as part of a team.
✦ Knowledge of the nonprofit sector.
✦ Quickbooks and database expertise.
✦ Experience with volunteer communication and management.
